How to Write Better SMS Appointment Reminders

One of the most effective ways to decrease no-shows is by using SMS appointment reminders. Implementing a good SMS appointment reminder system can give you around a 25% reduction in no-shows! But one common misconception is that just sending a message will immediately result in the no-show reduction. Sadly that is not the case, there are a couple things to keep in mind to make the most out of your appointment reminders.

The first thing to keep in mind when creating appointment reminders is to ask for confirmation on your reminders. Of course not every reminder needs confirmation, but in your reminder system, you should have one message a week or so in advance asking for confirmation. This can save a lot of time phoning customers and reminding them because there is no automated way to confirm the appointment close to the date.

The second way to have a better reminder system is to keep your reminder messages short. The longer the message, the less likely it will be read. If you can keep it under 200 characters you’re in good shape! Longer messages aren’t the end of the world but each character you add the chances get lower that the customer will take the time to read it.

The final thing is not actually to do with writing the reminders, but making sure your system allows for back and forth conversations from the phone number you’re sending the messages from. Giving the option for the customer to text back after you’re reminder can let them confirm, cancel or change the appointment easily! This will reduce your no-show rate and make your appointment reminders much more effective.
